Waves of Wine Tours – Terms & Conditions

By booking with Waves of Wine Tours, you agree to the following Terms & Conditions.

Recommendations

  • Bring a water bottle — your body will thank you.
  • Please consume alcohol responsibly throughout the day.
  • Respect all venues and their staff at all times.

General Conditions

Food and beverages may not be consumed on our vehicles.

Alcohol cannot be consumed on board or carried open, in accordance with Section 119(a) of the Liquor Act. Significant fines may apply and this is enforced by Police.

Waves of Wine Tours accepts no responsibility for lost or stolen property.

Passenger Responsibility & Safety

Passengers are responsible for their own wellbeing during the tour. Waves of Wine Tours is not liable for:

  • Medical conditions or incidents arising from food or beverage consumption
  • Injuries or reactions resulting from tour activities

Any behaviour that endangers or disrupts other guests, members of the public, or venue staff will not be tolerated. Passengers may be removed from the tour if necessary.

If a passenger is removed from the tour, Waves of Wine Tours is not responsible for any associated transport or accommodation costs.

Vehicle Damage / Cleaning

Where a vehicle is soiled or damaged by a passenger, the booking holder will be charged for:

  • All cleaning, repair, or maintenance costs
  • A 25% administration fee
  • Any loss of business resulting from the vehicle being unavailable

Responsible Service of Alcohol

Guests are encouraged not to consume alcohol within 8 hours prior to pick-up.

If a passenger displays signs of intoxication at any point:

  • They may be asked to take a break from tastings
  • In serious cases, they may be removed from the tour

All guests consuming alcohol must be 18 years or older.

Cancellation Policy

Daily Tour

  • Cancellations made more than 72 hours prior to departure incur a 25% cancellation fee
  • Cancellations within 72 hours, or no-shows, are non-refundable

Private Charters

  • Cancellations made more than 7 days prior incur a 25% cancellation fee
  • Cancellations within 7 days, or no-shows, are charged at the full quoted price (excluding lunch and tasting fees)

A $300 deposit is required to secure Private Charter bookings and is non-refundable.

Force Majeure / Events Beyond Our Control

Waves of Wine Tours shall not be liable for any failure, delay, alteration, or cancellation of services due to circumstances beyond our reasonable control (“Force Majeure Events”).

These include, but are not limited to:

  • Severe weather conditions
  • Bushfires or natural disasters
  • Road closures or transport disruptions
  • Vehicle breakdowns beyond reasonable prevention
  • Government restrictions or public health orders
  • Venue closures or supplier cancellations
  • Any other event that makes it unsafe, illegal, or impractical to operate the tour

If a Force Majeure Event Occurs

Prior to tour commencement:

Customers will be offered a rescheduled tour date or a credit for future use.
Refunds may be provided at the discretion of Waves of Wine Tours.

During the tour:

Tours may be modified, shortened, or cancelled where required.
Refunds for any unused portion of the tour are not guaranteed and are issued at the discretion of Waves of Wine Tours.

Waves of Wine Tours reserves the right to alter itineraries, substitute venues, or adjust timings where necessary, provided a comparable experience is delivered.

Tour Operations & Minimum Numbers

Waves of Wine Tours requires a minimum of 4 passengers for Daily Tours.

If minimum numbers are not met, the tour may be cancelled. In this case, customers will be offered:

  • A rescheduled date
  • A credit
  • Or a full refund

Itinerary & Experience Changes

Tour itineraries may change due to availability, operational requirements, or external factors.

Where changes occur, a comparable experience of similar value will be provided.

If a suitable alternative cannot be delivered, Waves of Wine Tours will offer a reschedule, credit, or refund at its discretion.

Booking Information

Accurate Information

Customers must provide accurate details at the time of booking, including:

  • Contact details
  • Dietary requirements

Waves of Wine Tours will communicate dietary requirements to venues. However, it remains the responsibility of the customer to confirm suitability of food and beverages directly with venue staff on the day.

No venue can guarantee a completely allergen-free environment.

Contact & Confirmation

A confirmation message with pick-up details will be sent to the provided mobile number no later than 6pm the day prior to the tour.

If no confirmation is received, customers must contact:

Refund Processing

Any applicable refunds will be processed via the original payment method. Customers may be responsible for any third-party transaction fees.

Daily Tour Logistics

Pick-Up Locations

Complimentary pick-up is included within:

  • Margaret River
  • Cowaramup
  • Gracetown
  • Prevelly

Pick-ups outside these areas may incur a $40 surcharge.

Pick-Up Times

Pick-up times vary depending on location, group size, and logistics.

Customers must remain contactable the day prior to the tour.

Pick-ups from outer regions (e.g. Karridale, Metricup) may be earlier.

Additional Requirements

  • Dress code: Smart casual recommended

Right to Amend

Waves of Wine Tours reserves the right to update or amend these Terms & Conditions at any time without prior notice.
